Fuel Safe Systems is looking for a Project Administrator to support the Industrial Sales and Engineering team with quoting, purchase order review, sales order processing, and cross-functional coordination for new and repeat orders. 

This position works closely with Industrial Sales, Engineering, Purchasing, Quality, Production, and Program Management to ensure customer requirements are clearly documented, materials are requested accurately, and project information moves through the organization without unnecessary delays. 

The ideal candidate is organized, detail-oriented, and comfortable communicating with internal teams and customers. Prior knowledge of fuel and fluid systems is not required, though a technical background is preferred. Training will be supported by the Industrial Sales and Engineering department and will include exposure to current administrative processes, project handoffs, engineering drawings, Bills of Materials, and purchasing coordination. 


Essential Duties and Responsibilities

  • Create quotes for new and repeat customer inquiries with input from Product Development Engineers and Manufacturing Engineers;
  • Coordinate with production management to confirm lead times for customer quotes;
  • Review customer purchase orders for quality inspection requirements, customer notification requirements, design-change requirements, shipping details, and invoicing requirements;
  • Create sales orders from reviewed purchase orders and communicate key requirements to the appropriate Fuel Safe departments;
  • Create material request forms from engineering drawings to identify required purchased items and vendor requirements;
  • Collaborate with Purchasing to ensure applicable vendor requirements are clearly communicated and passed to Quality for oversight where needed;
  • Communicate administrative and compliance requirements included in customer purchase orders and help establish plans to ensure requirements are met;
  • Communicate with customers when purchase orders need alteration or correction prior to acceptance;
  • Work with internal departments to keep projects on track, monitor deadlines, and escalate schedule risks to the Program Manager when needed;
  • Other duties as assigned. 

Preferred Knowledge and Experience:

  • Computer literacy with strong typing proficiency
  • Ability to interpret basic engineering drawings and Bills of Materials
  • Strong interpersonal skills and professional communication skills
  • Ability to learn products and processes
  • Ability to clearly communicate technical and administrative information
  • Ability to learn applicable computer software
  • Ability to multi-task, prioritize, and work with limited supervision
  • Ability to communicate professionally and effectively with internal and external customers
  • Desire to learn, improve processes, and support cross-functional team success
  • Two-year or four-year college degree preferred
  • Technical knowledge of fuel containment system manufacturing (preferred)
  • Background in aviation or other quality-controlled environments, including ISO 9001 or AS9100, preferred
  • U.S. citizen or authorized to work in the United States
